An micro SaaS app that calculates the best meeting time when participants are in different time zones.

WHAT I DID

On this project I worked as UX/UI design. I led the research and usability testing. I was also responsible for refining the screens and developing the mobile front-end in SwiftUI together with the other developers on the team.
CHALLENGE
Problem
The lack of tools for aligning time in international situations makes collaboration difficult and can generate noise in remote communication between people.
Solution
Our goal is to reduce the decision time to schedule a meeting in different time zones.

RESEARCH
In the research phase, we focused on understanding the needs of people who communicate in different time zones. This was to identify our target audience and find the best approach.
User interview

In the research stage, we interviewed nine people who work in different time zones to understand their routine and who our target audience was.

Communication Tools
We asked our interviewees which tool they used every day to communicate. Some people used more than one tool.

The majority of people used Google Workspace, mainly Gmail and Google Calendar. At this stage, we also realized that people who worked for a technology company already had pre-established times to talk to people in other time zones.
Organization
We also tried to understand how the teams were organized in order to arrange a meeting.
Use the Slack function to convert the time zone in real time.

Difficulties
After understanding how each person organized themselves. We tried to understand their main difficulties.

At this stage, we realized that people who worked in companies with a culture of having people in different time zones had no difficulties. However, people who had to talk occasionally with people from other time zones were less prepared.
Insights
The final insights after the interview stage.
People less familiar with technology have more difficulties with different time zones.
International holidays are discovered either on time or organized by managers.
People who work in close time zones experience fewer conversion difficulties.
Managers spend a lot of time organizing calendars with different time zones.

NEEDS
Hold a meeting to speak to everyone involved and understand the hours that all members are available, ask where each person lives and their time zone and holidays to avoid scheduling on days that some members cannot.
Pains Points
Scheduling meetings just to set dates.
Scheduling in the Brazilian time zone and not knowing the time zones of other members in the meeting.
Schedule meetings at times that are not suitable for people in other countries.
Schedule meetings on holidays or weekends in a country.
Benchmarking
After defining a target audience, we study competitors and similar ones.

USERFLOW
As our goal was to reduce the decision time to schedule a meeting in different time zones. We focus on making the navigation flow as quick as possible for the user to reach their goal.
WIREFRAME
We created the wireframes with HIG (Human Interface Guideline), so we were able to quickly progress with the programming and publish the MVP in testflight.
USER TESTING
When developing the MVP, we did a pilot tests with 5 people to fix user flow issues.

People preferred to select each time zone and return to the home screen, rather than multi-select.
Viewing time
People understood that the place where their time zone is was a button.
Time evaluation
People don't understand how the best time was assessed.
We also tested different onboarding flows with people to see which option best suited our proposal.

The people interviewed preferred Option 3 because it was succinct and provided clear information accompanied by an image.

Onboarding
Our aim is to offer a concise onboarding that not only introduces the application's functionalities, but also serves as a step-by-step guide to make it easier to use.
Icons
Users need to quickly know if this is a good meeting time. So, we will present three types of features:
Sad face for a bad meeting time.
Neutral face for a reasonable meeting time.
Happy face for a perfect meeting time.
Dark/Light mode
Find the best time
With just one click on the main button on the screen, you can calculate the best meeting time. This avoids long navigation flows to get to the main objective.
Real time result
The user can adjust the time of the meeting with other time zones. This function is designed for real-time response.
